Fill out this online form, we will call you to confirm that the date you select is available. If it is, we will then collect payment at that time.
Your party is not yet booked, we will get approval from the program director and then let you know you are all set. PLAN AHEAD!
If you prefer to print a form, bring it and payment to the office to check available dates. You must still wait for the approval of the program director.

💸 Updated Refund & Cancellation Policy - Effective August 1, 2025

📆 Standard Refund Policy

Refunds are based on how far in advance the cancellation is made:

  • More than 30 days before rental: 100% refund

  • 15–30 days before rental: 50% refund

  • 14 days or less: No refund

Refunds will be returned to the original payment method when possible. If not, a refund check will be mailed, or a credit can be applied to your HRC account (valid for 6 months).

🎓 Holiday & High-Demand Weekends

These dates include:

  • Graduation weekends (FHSU, HHS, TMP, etc.)

  • Saturday/Sunday after Thanksgiving

  • Weekends around Christmas & New Year's

Refunds will not be issued for these dates after 14 calendar days from the original booking, unless HRC cancels the reservation.

🌧 Weather or Facility Closure

  • If HRC cancels your rental due to weather, maintenance, or emergencies, a full refund will be issued.

  • If the facility stays open but the weather is questionable, refund requests will be reviewed case-by-case.

🛑 Holiday Closures

HRC does not allow rentals at the Rec Center only on these dates:

  • New Year’s Day (HRC closes at noon on New Year’s Eve)

  • Memorial Day

  • 4th of July

  • Labor Day

  • Thanksgiving Day & the Friday after

  • Christmas Eve & Christmas Day

If your reservation is affected by a closure and you were not informed, a full refund will be issued.

📌 Additional Notes

  • No refunds for no-shows.

  • Renters arriving early or leaving late will be charged for extra time.

  • Multi-day or large rentals may require a custom agreement with additional terms.
